The Outlook Add-in enable users to access Kim conveniently through Outlook; perfect for users who need quick access to Kim documents and attachments to reply to emails and attach documents.&nbsp; Access to your Kim Workspace additionally allows end users to interact with Kim\u2019s workflow without leaving Outlook.<\/p>\n\n\n\n<h3><span class=\"ez-toc-section\" id=\"Pre-requisites_for_configuring_and_using_the_Outlook_Plugin\"><\/span><strong>Pre-requisites for configuring and using the Outlook Plugin<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p>Before Account Templates will be available the Add-in for end users to use there are a couple of prerequisite configurations that must be completed in the Kim Back Office by a Site Owner(s) and System Administrators in each Account. &nbsp;The first item requires that a Site Owner to provision a Service Certificate for Authentication. This certificate must be the same certificate configured in the Outlook Add-in website\u2019s web.config file. &nbsp;The Site Owner may go to Back Office&gt;Manage Site&gt;Service Certificate Auth.<\/p>\n\n\n\n<div class=\"wp-block-advanced-gutenberg-blocks-notice is-variation-advice has-icon\" data-type=\"advice\"><svg xmlns=\"http:\/\/www.w3.org\/2000\/svg\" width=\"24\" height=\"24\" viewBox=\"0 0 24 24\" fill=\"none\" stroke=\"currentColor\" stroke-width=\"2\" stroke-linecap=\"round\" stroke-linejoin=\"round\"><path d=\"M14 9V5a3 3 0 0 0-3-3l-4 9v11h11.28a2 2 0 0 0 2-1.7l1.38-9a2 2 0 0 0-2-2.3zM7 22H4a2 2 0 0 1-2-2v-7a2 2 0 0 1 2-2h3\"><\/path><\/svg><p class=\"wp-block-advanced-gutenberg-blocks-notice__title\">Advice<\/p><p class=\"wp-block-advanced-gutenberg-blocks-notice__content\">A Service Certificate Auth configuration is required for each individual Kim account that you want to allow access with the Outlook Add-In.<\/p><\/div>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-large\"><img width=\"1024\" height=\"544\" src=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/05\/ServiceCertificateAuthOutlookAddIn-1024x544.jpg\" alt=\"\" class=\"wp-image-3225\" srcset=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/05\/ServiceCertificateAuthOutlookAddIn-1024x544.jpg 1024w, https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/05\/ServiceCertificateAuthOutlookAddIn-300x159.jpg 300w, https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/05\/ServiceCertificateAuthOutlookAddIn-768x408.jpg 768w, https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/05\/ServiceCertificateAuthOutlookAddIn.jpg 1195w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure><\/div>\n\n\n<p><\/p>\n\n\n\n<p>Provide an easy to remember name for the Outlook Add-In Certificate in the Client Name field.&nbsp; Pick the Account which you are configuring the certificate to be connected to.&nbsp; In the \u201cApply certificate on Service\u201d dropdown control you can choose from one of the following options:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td>Option<\/td><td>Explanation<\/td><\/tr><tr><td>Kim \u2013 All Add-in Services<\/td><td>All features will be available for both Word and Outlook Add-ins<\/td><\/tr><tr><td>Outlook \u2013 Upload Attachments<\/td><td>Case documents and attachments are available to attach to email messages<\/td><\/tr><tr><td>Outlook \u2013 Create Case<\/td><td>Creating a new case is possible using a Web Form Wizard in a popup browser window<\/td><\/tr><tr><td>Outlook \u2013 Update Case<\/td><td>Updating existing case(s) is possible using a Web Form Wizard in a popup browser window<\/td><\/tr><tr><td>Outlook \u2013 Link to Webform<\/td><td>Access to the case from your WorkSpace in a popup browser window<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p><\/p>\n\n\n\n<p>Next you will need to supply the digital signing certificate (X509 certificate) in a PFX format.  This represents an exported certificate with a private key password.  Start by entering your private key string in the <strong>Certificate Password<\/strong> field, then browse for the PFX file (or drag-and-drop the PFX file onto the <strong>Drop Files Here<\/strong> drop zone.  As soon as the PFX file is selected\/dropped in the drop zone the password will be validated for the certificate, and if the password is valid, the <strong>ADD<\/strong> button will allow you to save your changes.<\/p>\n\n\n\n<div class=\"wp-block-advanced-gutenberg-blocks-notice is-variation-advice has-icon\" data-type=\"advice\"><svg xmlns=\"http:\/\/www.w3.org\/2000\/svg\" width=\"24\" height=\"24\" viewBox=\"0 0 24 24\" fill=\"none\" stroke=\"currentColor\" stroke-width=\"2\" stroke-linecap=\"round\" stroke-linejoin=\"round\"><path d=\"M14 9V5a3 3 0 0 0-3-3l-4 9v11h11.28a2 2 0 0 0 2-1.7l1.38-9a2 2 0 0 0-2-2.3zM7 22H4a2 2 0 0 1-2-2v-7a2 2 0 0 1 2-2h3\"><\/path><\/svg><p class=\"wp-block-advanced-gutenberg-blocks-notice__title\">X.509 Certificate Requirements<\/p><p class=\"wp-block-advanced-gutenberg-blocks-notice__content\">The X.509 certificate you will be using must support document or code signing features.  It is recommended that these certificates should be issued by a reputable Certificate Authority.  Non-production environments can use self-signed certificates for testing purposes only.<\/p><\/div>\n\n\n\n<div class=\"wp-block-advanced-gutenberg-blocks-notice is-variation-info has-icon\" data-type=\"info\"><svg xmlns=\"http:\/\/www.w3.org\/2000\/svg\" width=\"24\" height=\"24\" viewBox=\"0 0 24 24\" fill=\"none\" stroke=\"currentColor\" stroke-width=\"2\" stroke-linecap=\"round\" stroke-linejoin=\"round\"><circle cx=\"12\" cy=\"12\" r=\"10\"><\/circle><line x1=\"12\" y1=\"16\" x2=\"12\" y2=\"12\"><\/line><line x1=\"12\" y1=\"8\" x2=\"12\" y2=\"8\"><\/line><\/svg><p class=\"wp-block-advanced-gutenberg-blocks-notice__title\">Special Information regarding the PFX file used in the Service Certificate Auth<\/p><p class=\"wp-block-advanced-gutenberg-blocks-notice__content\"><em><span style=\"color: #cf2e2e;\" class=\"ugb-highlight\">This section summarizes additional changes which are required to be performed by your Outlook Add-In website administrator and requires access to the folders on the web server where these changes must be performed.<\/span><\/em>  <br\/><br\/>The exact same file must be copied to your Outlook Add-In website&#8217;s <strong><em>App_Data<\/em><\/strong> folder.  This file name must also appear in the Outlook Add-In website&#8217;s web.config file in the <strong>appSetting<\/strong> key named &#8220;certificatePath&#8221;.  For instance, if the filename of your PFX file is &#8220;MyCompanyCertificate.pfx&#8221; you should change the value of the &#8220;certificatePath&#8221; appSetting to read &#8220;~\/App_Data\/MyCompanyCertificate.pfx&#8221;.  Don&#8217;t forget to save the changes to your web.config file.<br\/><br\/>At this time the Outlook Add-In website only supports configuration of a single PFX file.  This means that all Service Certificate Auth registrations on this page must use the same PFX file.<\/p><\/div>\n\n\n\n<div class=\"wp-block-advanced-gutenberg-blocks-notice is-variation-advice has-icon\" data-type=\"advice\"><svg xmlns=\"http:\/\/www.w3.org\/2000\/svg\" width=\"24\" height=\"24\" viewBox=\"0 0 24 24\" fill=\"none\" stroke=\"currentColor\" stroke-width=\"2\" stroke-linecap=\"round\" stroke-linejoin=\"round\"><path d=\"M14 9V5a3 3 0 0 0-3-3l-4 9v11h11.28a2 2 0 0 0 2-1.7l1.38-9a2 2 0 0 0-2-2.3zM7 22H4a2 2 0 0 1-2-2v-7a2 2 0 0 1 2-2h3\"><\/path><\/svg><p class=\"wp-block-advanced-gutenberg-blocks-notice__title\">Why might I have more than one Kim Add-In button available in Outlook?<\/p><p class=\"wp-block-advanced-gutenberg-blocks-notice__content\">Separate Outlook Add-in installations are required for each instance of Kim.\u00a0 This also means that end users provisioned with the Add-in(s) will have one or more button on the Outlook Ribbon Bar for each Add-in instance configured.<\/p><\/div>\n\n\n\n<h3><span class=\"ez-toc-section\" id=\"Template_Configuration\"><\/span><strong>Template Configuration<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p>The second prerequisite which must be configured prior to end users being able to use a Template within the Outlook Add-in is to configure one or more Templates and make them available for use within the Outlook Add-in.&nbsp; This functionality is enabled by System Administrators users on a Template-by-Template basis from the Template\u2019s settings in Kim\u2019s Back Office.&nbsp;<\/p>\n\n\n\n<div class=\"wp-block-advanced-gutenberg-blocks-notice is-variation-info has-icon\" data-type=\"info\"><svg xmlns=\"http:\/\/www.w3.org\/2000\/svg\" width=\"24\" height=\"24\" viewBox=\"0 0 24 24\" fill=\"none\" stroke=\"currentColor\" stroke-width=\"2\" stroke-linecap=\"round\" stroke-linejoin=\"round\"><circle cx=\"12\" cy=\"12\" r=\"10\"><\/circle><line x1=\"12\" y1=\"16\" x2=\"12\" y2=\"12\"><\/line><line x1=\"12\" y1=\"8\" x2=\"12\" y2=\"8\"><\/line><\/svg><p class=\"wp-block-advanced-gutenberg-blocks-notice__title\">Information<\/p><p class=\"wp-block-advanced-gutenberg-blocks-notice__content\">Any access restriction to Workflow Group(s) at the Template level will be applied as a similar access restriction to the Template within the Outlook Add-in.<\/p><\/div>\n\n\n\n<div class=\"wp-block-advanced-gutenberg-blocks-notice is-variation-warning has-icon\" data-type=\"warning\"><svg xmlns=\"http:\/\/www.w3.org\/2000\/svg\" width=\"24\" height=\"24\" viewBox=\"0 0 24 24\" fill=\"none\" stroke=\"currentColor\" stroke-width=\"2\" stroke-linecap=\"round\" stroke-linejoin=\"round\"><path d=\"M10.29 3.86L1.82 18a2 2 0 0 0 1.71 3h16.94a2 2 0 0 0 1.71-3L13.71 3.86a2 2 0 0 0-3.42 0z\"><\/path><line x1=\"12\" y1=\"9\" x2=\"12\" y2=\"13\"><\/line><line x1=\"12\" y1=\"17\" x2=\"12\" y2=\"17\"><\/line><\/svg><p class=\"wp-block-advanced-gutenberg-blocks-notice__title\">Warning<\/p><p class=\"wp-block-advanced-gutenberg-blocks-notice__content\">Templates which utilize Kim&#8217;s document stitching features are not supported in this version of the Outlook Add-in. We do not advise that you enable those Templates for use with the Outlook Add-in.<\/p><\/div>\n\n\n\n<figure class=\"wp-block-image size-large\"><img width=\"624\" height=\"161\" src=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-127.png\" alt=\"\" class=\"wp-image-2678\" srcset=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-127.png 624w, https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-127-300x77.png 300w\" sizes=\"(max-width: 624px) 100vw, 624px\" \/><\/figure>\n\n\n\n<p>Office Add-in Options have been added to each Template\u2019s settings to configure the Add-in.<\/p>\n\n\n\n<p><strong>Outlook &#8211; Case Create:<\/strong>&nbsp; Administrators are presented with three options for Case Creation through the Outlook Add-in.<\/p>\n\n\n\n<ul><li>None \u2013 this feature is disabled for this Template<\/li><li>Wizard &#8211; allows creating a new Case by opening the Kim Web Form wizard for the selected Template in a popup browser window within the Outlook app.<\/li><\/ul>\n\n\n\n<p>In addition to the Create Case Options, for an initiating template to be available through the Outlook Add-in, they must fulfill Kim\u2019s existing prerequisites for Case Creation:&nbsp;<\/p>\n\n\n\n<ol type=\"1\"><li>Template is Active and Initiating<\/li><li>Has a unique reference number<\/li><li>Web form is active<\/li><li>Template is linked to an active workflow<\/li><\/ol>\n\n\n\n<p><strong>Outlook \u2013 Case Update:<\/strong>&nbsp; Administrators may select one of the following options to configure the ability to edit a Case Document within the Outlook Add-in:<\/p>\n\n\n\n<ul><li>None \u2013 this feature is disabled for this Template<\/li><li>Wizard &#8211; allows editing the current version of the case document by opening the Kim Web Form wizard for the selected document in a popup browser window within the Outlook app.<\/li><\/ul>\n\n\n\n<p><strong>Outlook- Allow Case Attachments: <\/strong>Will display the Attachment tab in Outlook sidebar, enabling users to fetch case documents and attachments from Kim and add them to email messages as attachments. <strong>&nbsp;<\/strong><\/p>\n\n\n\n<p>Lastly, initiating Kim Templates must also have a <strong>Web Form URL<\/strong> configured from the template\u2019s settings options. To create a Web Form URL, all System Administrators have to do is choose a unique value; Kim will instantly generate the web form URL.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img width=\"607\" height=\"184\" src=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-128.png\" alt=\"\" class=\"wp-image-2679\" srcset=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-128.png 607w, https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-128-300x91.png 300w\" sizes=\"(max-width: 607px) 100vw, 607px\" \/><\/figure>\n\n\n\n<h3><span class=\"ez-toc-section\" id=\"Accessing_Kim_through_Outlook_Add-in\"><\/span><strong>Accessing Kim through Outlook Add-in<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p>The Outlook Add-in will be available once users click on the Message tab to compose a new email (the Add-in button(s) are not displayed on the Outlook application\u2019s Main ribbon bar).<\/p>\n\n\n\n<figure class=\"wp-block-image size-large is-resized\"><img src=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-129.png\" alt=\"\" class=\"wp-image-2680\" width=\"692\" height=\"153\" srcset=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-129.png 624w, https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-129-300x66.png 300w\" sizes=\"(max-width: 692px) 100vw, 692px\" \/><\/figure>\n\n\n\n<p>Outlook Add-in users will have already been authenticated once signing onto their email account, therefore the Outlook Add-in will perform a pass-through authentication to your Kim instance using the same username. After successfully authenticating the Outlook Add-in sidebar will appear like this:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img width=\"286\" height=\"323\" src=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-130.png\" alt=\"\" class=\"wp-image-2681\" srcset=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-130.png 286w, https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-130-266x300.png 266w\" sizes=\"(max-width: 286px) 100vw, 286px\" \/><\/figure>\n\n\n\n<p>The Add-in contain two tabs labeled <strong>Attachments<\/strong> and <strong>Cases<\/strong>.<\/p>\n\n\n\n<h3><span class=\"ez-toc-section\" id=\"Attachments\"><\/span><strong>Attachments <\/strong><span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p>The attachments tab shows a tree view of Accounts, Documents and Attachments. &nbsp;Clicking on the account\/arrow will expand and display all the cases currently created or assigned to the user. Every case will have a case document, and that will always be the top-most object shown under the case.&nbsp; Beneath that will be an <strong>Attachments<\/strong> node, and when the node is clicked it will expand to display all the attachments (if any) for the case.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img width=\"208\" height=\"226\" src=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-131.png\" alt=\"\" class=\"wp-image-2682\"\/><\/figure>\n\n\n\n<p>If there are any child case available, it will display underneath the Attachments.<\/p>\n\n\n\n<p>Users can select any document or attachment and click on Upload selected items to email or drag and drop the documents and attachments to the email body.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img width=\"624\" height=\"332\" src=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-132.png\" alt=\"\" class=\"wp-image-2683\" srcset=\"https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-132.png 624w, https:\/\/www.ask.kim\/documentation\/wp-content\/uploads\/2021\/04\/image-132-300x160.png 300w\" sizes=\"(max-width: 624px) 100vw, 624px\" \/><\/figure>\n\n\n\n<div class=\"wp-block-advanced-gutenberg-blocks-notice is-variation-advice has-icon\" data-type=\"advice\"><svg xmlns=\"http:\/\/www.w3.org\/2000\/svg\" width=\"24\" height=\"24\" viewBox=\"0 0 24 24\" fill=\"none\" stroke=\"currentColor\" stroke-width=\"2\" stroke-linecap=\"round\" stroke-linejoin=\"round\"><path d=\"M14 9V5a3 3 0 0 0-3-3l-4 9v11h11.28a2 2 0 0 0 2-1.7l1.38-9a2 2 0 0 0-2-2.3zM7 22H4a2 2 0 0 1-2-2v-7a2 2 0 0 1 2-2h3\"><\/path><\/svg><p class=\"wp-block-advanced-gutenberg-blocks-notice__title\">Advice<\/p><p class=\"wp-block-advanced-gutenberg-blocks-notice__content\">Users can upload up to 5 attachments per email. If more than 5 attachments are selected, an error message will be displayed.<\/p><\/div>\n\n\n\n<h3><span class=\"ez-toc-section\" id=\"Case_Management\"><\/span>Case Management<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p>The tab <strong>Cases<\/strong> provides users the ability to create a case, access, and view all the user\u2019s assigned and created existing cases. The <strong>Cases<\/strong> tab will display <strong>My Cases<\/strong> and <strong>How Can I Assist<\/strong> nodes. When expanding any of the nodes, Kim will display all the accounts the user has access for updating and creating a case.<\/p>\n\n\n\n<ol type=\"I\"><li><strong>My Cases<\/strong> will fetch all the Accounts users have access to. When any of the account node is opened, Kim will display all the open cases assigned to the user on that account.<\/li><li><strong>How Can I Assist<\/strong> will fetch all the Accounts for which users have access to create a case.
